Who we are
TendersNearMe is run by Gary Callaway, a sole trader trading as TendersNearMe, 61 Harcourt Gardens, Bath, BA1 4DL. We are the controller of the personal information described here. ICO registration number: ZC262506. Questions: .
What we collect
- Your account: your email address and a securely stored (hashed) password.
- Your business profile: business name, description, services, areas, contract sizes, accreditations, staff numbers, turnover and insurance levels you choose to enter.
- Your work in the service: saved tenders and leads, notes, saved searches, answer library entries, bid packs and draft answers.
- Tender documents you upload: the text is extracted in your browser and sent to create a bid pack. We store the pack, not the original files or their full text.
- Team members: on the Business plan, the email addresses of people you invite.
- Mobile number: only if you switch on text alerts.
- Partner finder listing: only if you switch it on — your business name, one-line description, services, areas, accreditations and staff numbers are shown to other signed-in members. Your email and phone are never shown. When someone messages you, we email it to you; if you message someone, they see your business name and can reply to your email address.
- Payments: handled by Stripe. We see your plan, payment dates and amounts, and any promo code — never your card details.
- Contact form: your name, email, business and message.
- Technical information: sign-in records and basic logs kept by our hosting providers for security.
Tender and contract award notices come from Find a Tender and Contracts Finder under the Open Government Licence. They can include names and contact details of buyers and suppliers as published by the government.
Why we use it, and our lawful basis
- To provide the service you signed up for — matching, alerts, pipeline, bid packs (contract).
- To send service emails such as alerts, reminders, password resets and important changes (contract). You can turn alerts off in Settings.
- To keep the service secure and fix problems (legitimate interests).
- To keep business and tax records (legal obligation).
We don't sell your information or use it for advertising.
Who we share it with
Only with providers that help us run the service, under contracts that protect your data:
- Supabase — database, sign-in and server functions.
- Cloudflare — website hosting.
- Resend — sending emails.
- OpenAI — creating bid packs and draft answers from the text you submit. Data sent through their API is not used to train their models.
- Stripe — card payments and invoices.
- Twilio — sending text alerts, if you switch them on.
Some of these providers process data outside the UK, including in the USA. Where they do, we rely on UK adequacy regulations or the UK International Data Transfer Addendum / Agreement.
How long we keep it
We keep your account data while your account is open. If you ask us to close it, we delete your account and business data within 30 days, except records we must keep for tax purposes (usually 6 years).
Cookies and local storage
We don't use cookies for advertising or tracking. Your browser's storage is used to keep you signed in, remember light or dark mode and remember ticks on bid pack checklists. For the current visit only, we also remember which website or campaign link brought you here, so we know which of our marketing works; it's deleted when you close the tab.
To count visitors we use our own simple statistics, not Google Analytics. Your IP address and browser details are turned into an anonymous code that changes every day and can't be traced back to you; the IP address itself isn't stored. We record the page, the website you came from and whether you're on a phone or computer.
Your rights
You can ask to see, correct, delete or receive a copy of your information, or object to how we use it. Email . If you're unhappy with how we handle your information you can complain to the Information Commissioner's Office at ico.org.uk.
